Design the route from intake to accounting
For a new project, a useful planning sequence is intake → extraction → validation → approval → accounting system. This is a recommended design framework, not a verified diagram of a particular delivered installation. Define the record and decision at each boundary before choosing tools.
Email intake needs a clear rule for attachments, repeat messages and documents that are not invoices. Extraction should preserve a link to the original document so a reviewer can check the supplier, reference and amounts rather than trusting a detached set of fields.
Keep financial decisions and exceptions explicit
For a future implementation, agree which checks belong in ordinary software: required fields, totals, tax treatment, supplier matching and duplicate detection. Unclear or inconsistent records should enter a review queue. A person should retain authority over disputed details and the approvals your finance process requires.
AI may be useful for variable documents, but PDF extraction alone is not evidence that AI was used. Evaluate any proposed extraction approach against representative documents and define what is acceptable before allowing it to prepare live accounting entries.
Plan the recovery and handover
For your own workflow, test repeated submissions, expired credentials and unavailable accounting APIs. Retrying an interrupted request must not create a duplicate invoice. Reconcile what was received, approved and written, and give someone responsibility for resolving incomplete items.
Agree data access, document retention, monitoring and the manual fallback. The operational owner needs to know how to inspect a failure and resume safely. These are recommendations for commissioning similar work, not additional claims about controls in the published projects.
